Auto-Assign Automation
Set up rules to assign team members automatically to feedback for your selected brands and locations.
- This ensures that all feedback receives proper attention and is promptly addressed.
- Make sure you have Admin Level access to be able to use Auto-Assign Automation. You can learn more about Permission Levels here:
Where to find Auto-Assign Automation?
On the left side bar menu, click on Tools > Automation.
Rules Library
Click on Review Rules under Auto-Assign Automation and you will be taken to the rules library.
Here you will find all the assignment rules that you created.
You can also switch to auto-assignments for Surveys, Forms and Direct Messaging at the top of the library.
Under actions, you can copy, edit and delete the rule.
Copying a rule will let you create a new rule with the same configurations.
You can deactivate a rule by toggling on the status. It will bring the rule at the bottom of the library. You may toggle it again to reactivate the rule.
Create New Rule
To create a new rule, click "Add New Rule" at the upper right.
Select Brand:
If you have several brands, you can select only one brand per rule.
Types of Feedback:
This is pre-selected based on the type of feedback you are making the rule for.
It will automatically change when you switch to the other feedback types. See below for reference:
Ratings:
You can select which number of star ratings the auto assign will work for. You can select a range (1-3 stars) or you can select a single star review (just for 3 star ratings for example)
Review Type:
You can select what kind of reviews the auto assign will work for. If you prefer reviews that have text or none.
Select Platform or Form:
You can select more than one platform per rule.
For Forms, you select which Form the rule will be for.
Location Group or Location (Excludni):
Select locations either by Location Group, Location, or Both. Selecting a Location Group will include all locations within that group.

For Forms Only:
In Forms auto-assignment, you can select the inquiry type to assign the user.
Assignee:
You can select more than one assignee per rule. Make sure the assignees have at least member access to view the reviews and surveys. While for Forms, make sure the assignees have at least view permission to view the inquiry types.
